The information we collect and purposes of the collection

The personal information collected for handling registrations or inquiries is processed on the base of the consent which you grant us during the process of registration and payment. We would also like to keep you informed about new events, products or offers and to provide the best possible service to you. In such a case, the legal basis of the processing is our legitimate interests which are the promotion of our brand and event sponsors/exhibitors. Whenever we process data for these purposes we will ensure that we always keep your Personal Data rights in high regard and take account of these rights.

The provision of this information is voluntary. However, if you do not provide the information requested, we may be unable to process your registration or inquiry. All information provided by you will be held in the strictest confidence.

When you visit our site, a cookie (a very small text file) is placed on your device. We do not rent or sell our customer e-mail lists. We may share your personal information with professional organizations (our event sponsors/exhibitors) to promote similar products and services related to your area of interest. No list supplied by EBCG may be used by anyone other than for the confidential use of the original mailer. All lists are seeded with decoy names to protect against abuse; violators will be prosecuted.

Information about how we may share your data with our sponsors

Links to other sites

The event is being sponsored by the companies listed at the event website as Partners. We may make available our registrants’ names, job title, company and email address to the event sponsors. This is in our and our sponsors’ legitimate business interests: it allows us to attract the most appropriate sponsors for the events and to facilitate business-to-business communication between our sponsors and our registrants during and after our events. Our sponsors may contact you about their products and services.

Surveys & Promotions

From time to time EBCG may run surveys and promotions and may request information from users as part of these. Participation in these is entirely voluntary.

Security

EBCG takes precautions to protect your information. When users submit sensitive information over the internet, we protect it through the use of encryption, such as the Secure Socket Layer (SSL) protocol. Access to all of our users’ information is restricted in our offices. Only employees who need the information to perform a specific job are granted access to personally identifiable information. The servers that we store personally identifiable information on are kept in a secure environment.

Right to Access

You have the right to access personal information that EBCG holds about you. This can be done by e-mailing database@ebcg.com or dpo@ebcg.com.

Right to Rectification

EBCG will make every attempt to keep your personal data accurate, complete and up to date. If your personal information is incorrect, changes or if you no longer wish to receive information from EBCG, we will endeavor to correct, update or remove your information as swiftly as possible. This can be done by e-mailing database@ebcg.com or dpo@ebcg.com.

Right to be Forgotten (Right to Erasure)

You have the right under certain circumstances to have your personal information erased. Your information can only be erased if your data is no longer necessary for the purpose for which it was collected, and we have no other legal ground for processing the data.

Right to Restrict Processing

You have the right to restrict the processing of your personal information, but only where:

  • its accuracy is contested, to allow us to verify its accuracy; o
  • the processing is unlawful, but you do not want it erased; or
  • it is no longer needed for the purposes for which it was collected, but we still need it to establish, exercise or defend legal claims; or
  • you have exercised the right to object, and verification of overriding grounds is pending.

Right to Data Portability

You have the right to data portability, which requires us to provide personal information to you or another controller in a commonly used, machine-readable format, but only where the processing of that information is based on (i) consent; or (ii) the performance of a contract to which you are a party.

Right to Object to Processing

You have the right to object the processing of your personal information at any time, but only where that processing has our legitimate interests as its legal basis. If you raise an objection, we have an opportunity to demonstrate that we have compelling legitimate interests which override your rights and freedoms.

Right to Decline Automated Decision Making

You have the right to not be subject to decisions based solely on automated decision making, which produce legal or significant effects for you, except where these are (i) necessary for a contract to which you are a party; (ii) authorized by law; (iii) based on your explicit consent.

Even where such decisions are permitted, you can contest the decision and require EBCG to exercise human intervention.

We currently do not use automated decision making (including automated decision making using profiling) when processing your personal information. If we ever use an automated decision-making solution, you have a right to request that a decision based on your personal information cannot be solely decided via an automated process.

Direct Marketing

If you no longer wish to receive newsletters or promotional materials, you may opt-out of receiving these communications. You can do it by following the unsubscribe link placed in the footer of the promotional email or, if by post, by returning the letter to us with “unsubscribe” marked upon it. Or you can simply contact database@ebcg.com and ask to be unsubscribed.

Notifications of Changes

EBCG reserves the right to amend the privacy notice. In such a case, the ‘last updated’ date will be amended accordingly and you will be informed via statement prominently displayed on the website.

GDPR Compliance

EBCG respects your right to privacy. We ensure all data is managed lawfully, fairly and transparently. We use third parties to also acquire data, who hold those parties to the same high standard. You have a right to be forgotten and can email us at database@ebcg.com to request your personal data or any information related to privacy.

Data Storage and Retention

The personal data we hold is stored on EBCG servers and on the servers of cloud-based database management services located in Germany. EBCG retains data for the duration of the customer’s or member’s business relationship with the EBCG and as required by applicable legislation. EU Anti-Spam Legislation

EBCG has taken all reasonable steps to comply with the EU’s Anti-Spam Legislation. We only email contacts with whom we have had a business relationship within the last 4 years, individuals who may have enquired about an event in the last 6 months or who have opted in to receive our divisional marketing communications. Should you receive an unsolicited email from EBCG please email database@ebcg.com and we will remove your details within 48 hours.

Transfer

The internet is a global environment. The data that we collect from you may be transferred to and stored at, international destinations, including destinations outside the European Economic Area (“EEA”). It may also be processed by international staff or data processors outside this area, who maybe engaged in, among other things, the fulfillment of your order, the processing of your payment details and the provision of support services

EBCG will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Notice.

This is very similar to the cookie above (both are owned/controlled by Google) but is specific to the display advertising on our site. Social Buttons

On many of the pages of the site, you will see ‘social buttons’. These enable users to share or bookmark the web pages. There are buttons for Twitter, Google +1, Facebook ‘Like’, and LinkedIn ‘Share’. In order to implement these buttons, and connect them to the relevant social networks and external sites, there are scripts from domains outside of EBCG. You should be aware that these sites are likely to be collecting information about what you are doing all around the internet, including on EBCG’s site. So if you click on any of these buttons, these sites will be registering that action and may use that information. In some cases, these sites will be registering the fact that you are visiting EBCG, and the specific pages you are on, even if you don’t click on the button if you are logged into their services, like Google and Facebook. You should check the respective policies of each of these sites to see how exactly they use your information and to find out how to opt-out or delete such information.

External Web services

We use a number of external web services on the EBCG site, mostly to display content within our web pages. For example, to display images we often use Flickr; to display slideshows we sometimes use SlideShare; to show videos we use Vimeo and YouTube. This is not an exhaustive or complete list of the services we use or might use in the future when embedding content, but these are the most common. As with the social buttons, we cannot prevent these sites, or external domains, from collecting information on your usage of this embedded content. If you are not logged in to these external services then they will not know who you are but are likely to gather anonymous usage information e.g. number of views, plays, loads, etc.

Email tracking

Some emails that we send you have no tracking in at all e.g. service emails. Other emails we send we put in tracking so that we can tell how much traffic those emails send to our site but we do not know who has clicked so the data is anonymous e.g. our daily newsletter.

Purpose

We believe our community should be truly open for everyone. As such, we are committed to providing a friendly, safe and welcoming environment for all, regardless of gender, sexual orientation, disability, ethnicity, or religion.

This code of conduct outlines our expectations for participant behavior, as well as the consequences for unacceptable behavior.

We invite all sponsors, speakers, attendees, media, exhibitors and other participants to help us realize a safe and positive conference experience for everyone.

All determinations of appropriate or inappropriate behavior are in EBCG’s sole discretion and the decision(s) of the EBCG representatives on-site will be final.

In any emergency situation please call the authorities immediately via the house phones or directly.

Expected behavior includes, but is not limited to:

  • Be considerate, respectful, and collaborative.
  • Refrain from demeaning, discriminatory or harassing behavior, materials and speech.
  • Be mindful of your surroundings and of your fellow participants. Alert conference organizers if you notice a dangerous situation or someone in distress.

Unacceptable behavior & materials include, but are not limited to:

  • Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning materials or conduct by any attendees of the event and related event activities. Many event venues are shared with members of the public; please be respectful to all patrons of these locations.
  • Harassment includes offensive comments (verbal, written, or otherwise) related to gender, sexual orientation, race, religion, disability; inappropriate use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking or following; harassing materials, photography or recording; sustained disruption of talks or other events (whether verbal or otherwise); inappropriate physical contact, and unwelcome sexual attention.
  • Wearing clothing that is not suitable for a professional work environment, that is provocative, or otherwise potentially offensive.
  • Physical, written, verbal or other abuse, intimidation, threats, annoyance, harassment, stalking, pushing, shoving or use of any physical force whatsoever against any person, which in any way creates a disturbance that is disruptive or dangerous, or creates apprehension in a person, as determined by EBCG and its show management, in their sole discretion.
  • Possession of any item that can be used as a weapon, which may cause danger to others if used in a certain manner.
  • Any boisterous, lewd or offensive behavior or language, including but not limited to using sexually explicit or offensive language, materials or conduct, or any language, behavior or content that contains profanity, obscene gestures, or racial, religious or ethnic slurs.
  • Possessing any open can, bottle or other receptacle containing any alcoholic beverages, except in areas specifically designated for the consumption of alcohol. Please drink responsibly.
  • Possessing any illegal substance, including but not limited to narcotics, marijuana, or other illegal drugs. EBCG does not tolerate the use or abuse of illegal substances anywhere in the Venue.
  • Smoking – other than in designated areas.
  • Assembling for the purpose of, or resulting in, disturbing the peace, or committing any unlawful act or engaging in any offensive behavior.
  • Failure to obey any rules or regulations of the Venue.

Consequences of unacceptable behavior

Unacceptable behavior will not be tolerated whether by other attendees, media, speakers, volunteers, organizers, venue staff, sponsors, or exhibitors.

Anyone asked to stop unacceptable behavior is expected to comply immediately.

If a participant engages in unacceptable behavior, the conference organizers may take any action they deem appropriate, including expulsion from the conference without warning or refund and contacting the authorities as necessary.

What to do if you witness or are subjected to unacceptable behavior

In any emergency situation please call the authorities immediately via the house/mobile phones or directly.

If you are subjected to unacceptable behavior, notice that someone else is being subjected to unacceptable behavior, or have any other concerns, please notify a conference organizer as soon as possible. All reports will remain completely confidential.

Event Staff will be available to help participants contact venue security or local law enforcement, to provide escorts, or to otherwise assist those experiencing unacceptable behavior to feel safe for the duration of the conference. You can report unacceptable behavior to any member of staff. Staff can be found in the Show Office onsite or you may email one of the contacts below.

Scope

We expect all conference participants (staff, sponsors, volunteers, speakers, attendees, and other guests) to abide by this code of conduct at all conference venues and conference-related social events.

The above policies may be revised at any time by EBC-Slovakia s.r.o. and are non-negotiable. This Code of Conduct is without prejudice to EBC-Slovakia s.r.o.’s rights, all of which it expressly reserves.
